Checking In and Checking Out for Fall 2024

Check-In and Arrival

All students must participate in the Check-In process to ensure they have the necessary paperwork, forms, etc. to begin classes. If you are contacted by one of the offices listed below, please complete the requested paperwork prior to arriving on campus. Please remember we will not allow you to move in, access a meal plan, or attend classes until you have completed the Check-In process.

New and Transfer Students

Unless you are approved to arrive early with a campus group/team, first-year students will arrive for Check-In and Move-In on Friday, August 16, from 10am - 12pm. Residential students must attend Check-In on the Campus Center main floor, prior to receiving a room key. New commuting students must complete Check-In on campus by noon. Please remember if you are a commuter and need a commuter meal plan, go to Cater Trax.

Note: Yearbook photos are taken at Check-In & Arrival. Dress is casual so no need to stress out!

Important Note: Welcome Week activities begin Friday, August 16, and showcase Heidelberg’s many resources for academic, personal, and professional success. All new students (residential, commuter and transfer students assigned to an AIM Hei group) will need to attend Welcome Week activities. Details are available here: Welcome Week.

Returning Upper Class Students

Unless you are approved to arrive early with a campus group/team, returning students should plan to attend Check-In at the Campus Center on the assigned day above: Saturday, August 17, from 10am - 12pm. Residential students will receive their room key after completing Check-In.

Distance/Approved Traveling Arrival Details

Heidelberg University acknowledges that some of our students are traveling great distances to arrive to campus. For the convenience of those taking flights or traveling a distance over 150 miles, optional arrival times are in the evening the night before their groups arrival to allow for flexible travel time.

If a student needs to arrive to campus earlier than their designated date, the student must make the request to Residence Life by email within 72 hours prior to arrival.

The Approved Travelers date must coincide with a designated Check-In & Arrival date*. Hall Staff will only be available during designated times. Upon arrival, the student will report to their residence hall, main floor. On-call numbers are available in the event a staff member is not immediately available or if unable to access the building. The University has two dining options with limited hours so please make meal arrangements accordingly.

Note: Designated Check-In & Move-In dates are determined by the student’s involvement with a group that has been approved to arrive early.

Required Items

All new students must verify their identity during check-in. Students must present one (1) forms of acceptable documents to use for identification.

Returning students must have their Heidelberg University student ID. If you have lost it or do not have it at check-in, you will need to purchase a new card at check-in.

Any outstanding documents, forms, or paperwork will be communicated to you through one of the above offices. New students should refer to the new student checklist in their student portal for a complete listing of required items.

Parking Information for Residential Students

On your Move-In day, you should park in your building's parking lot, or the closest lot that has spaces available. Then, walk over to Campus Center for Check-In to complete all steps in the Check-In process. Once the Check-In process is complete, you will then be able to move into your residence hall.

Simple Steps to Moving In:

  1. Park your vehicle in your building's lot (or closest available)
  2. Walk over to Check-In (location listed above)
  3. Complete Check-In process and receive room key
  4. Return to vehicle and unload

Heidelberg movers are here to help! For First-Year Move-In on August 168, there will be members of the 'Berg family on hand to help with parking, unloading of vehicles, and to provide general assistance. Current students, faculty, and staff who are helping new students move in will all be wearing matching shirts so you can easily identify these helpers!

Please note that it is inappropriate to park across a private residential driveway, to park longer than 48 hours on public streets, or in the National Machinery parking lots (which are east of France Hall and Williard Hall). Parking in unauthorized locations may result in a traffic citation at the vehicle owner's expense.

Tips for Move-In Day

  • Check the ODOT construction page to avoid delays.
  • Eat breakfast.
  • Take the stairs. (Some buildings have elevators, but the stairs are your fastest way to get through a building.)
  • Stay hydrated.
  • Bring a dolly or hand truck. We aren't able to supply these.
  • Label all your totes and belongings.
  • Utilize the help.
  • If you pack in crates, boxes, trunks, suitcases, etc., make plans for them to be taken home at the end of the day. We do not provide storage space in the building for those items.
  • Things to leave at home: appliances w/open heat elements, halogen bulbs and/or lamps, pets (other than fish), candles and incense, waterbeds, extension cords (see complete list).

On Your Move-In Date

Between 8am - 5pm (business hours)

To communicate urgent information (i.e., delayed arrivals, issues with vehicle, lost, etc.), please call (419) 448-2062.

Between 5pm - 8am (after business hours)

To communicate urgent information (i.e., delayed arrivals, issues with vehicle, lost, etc.), please call Campus Security at (419) 448-2211.

After Your Move-In Date

If you have questions after your Move-In date, please contact the Dean of Student Affairs Office at (419) 448-2062.

Finals Week and Checkout Procedures

To prepare for final exams, 24-hour quiet hours will be instituted the Wednesday prior to exams starting at 9:30pm. Unless they are participating in commencement or living in summer housing, students are expected to checkout of their residence hall within 24 hours of their last final exam or by Wednesday by 4:30pm (whichever comes first). Students participating in commencement should check out of their room by 5pm on Sunday. Sign-up sheets for checkout times will be available in each residence hall. Please ask your RA or RC if you cannot find where to sign up. To avoid improper checkout fees, students should schedule a time at least 24 hours in advance.

In addition, please make sure to do the following:

  • Remove all items from your room.
  • Have your ID and key with you.
  • Unbunk/unloft beds, open all drawers and close and lock all windows.
  • Sign your Room Condition Report.
  • Leave keys with the staff member checking you out.

Your RA will conduct an inspection with you to determine whether initial charges will be assessed for damages. However, charges are not final until after the Campus Life and Krammes Service Center staff conduct a final inspection after buildings close.

Possible Off Campus Storage Options

If you are interested in finding an off-campus storage unit for larger items, there are several in the Tiffin area.
