The student organization meeting and event operation guidelines created by the Office of Student Engagement in Fall 2020 are still in place for the Spring 2021 semester!
The current State of Ohio limit on large group gatherings is 10 people. We will continue to update our forms and policies as that number changes.

Request for an In-Person Organization Meeting
Student organizations will be encouraged to adopt an onsite-online hybrid model for their operations, with the primary modality being online. There will be no restrictions on organization online meetings.
If you believe you need to meet in-person, you can complete the Request for an In-Person Meeting form! Your request must demonstrate the need for an in-person meeting and address the health and safety precautions you intend to take. These meetings can exceed 10 people provided that they take place in a room large enough to accommodate your group at the campus’s current capacity limits.
You must complete this request before contacting Conference and Events to reserve a campus space. Groups are only guaranteed approval for an in-person meeting once monthly, but can submit requests for more. Approval over once a month is contingent on space availability.
Executive Board meetings or committee meetings with fewer than 10 people are exempt from the once/month limit if the group does not intend to use a reservable campus space.
Request for an In-Person Organization Event
Student organizations will be encouraged to explore online events whenever possible and there will be no restrictions on how many online events they host.
If you would like to host an in-person event, you can complete the Request for an In-Person Event form below! Your request must demonstrate the health and safety precautions you intend to take, as well as how you intend to control the flow of attendees to ensure the event has no more than 10 attendees at one time, as 10 is the current state limit on large group gatherings. All student organization events will be restricted to members of the Heidelberg community.
Groups are only guaranteed approval for an in-person event once monthly, but can submit requests for more. Approval over once a month is contingent on space availability. In the event of a co-sponsored event, the event will count for both organizations.
Dawn Wright is the Administrative Assistant in the Office of Student Engagement. She and her husband are both alumni of Heidelberg University. Their four children and the family Goldendoodle, Floyd keep them very active. During her college years, Dawn was a member of Delta Sigma Chi and a softball athlete. She enjoys supporting students by attending various campus events.
Jacqueline Sironen is the Director of Student Engagement, and she is the advisor to Berg Events Council and Greek Life Council, as well as the co-advisor to Student Senate. Jacqueline’s better half is a Siberian husky named Bingley, who is frequently spotted playing on the 3rd floor of Campus Center or walking around campus.
